Cancellation Policy
Thank you for trusting your medical care to Madison Psychiatric Associates. When you schedule an appointment with Madison Psychiatric Associates (MPA) we set aside enough time to provide you with the highest quality of care. Should you need to cancel or reschedule an appointment please contact our office as soon as possible, but no later than 24 business hours before your scheduled appointment. This gives us time to schedule other patients who may be waiting for an appointment. Please see our Appointment Cancellation/ No-Show Policy below:
Effective January 1, 2025, any established patient who fails to contact our office with at least 24 business hours’ notice will be considered a late cancel and charged a fee.
Late cancel fee is $50.
Intake appt late cancel fee is $100.
After two (2) instances in a 12-month period, the patient may be discharged from clinic care.
Effective January 1, 2025, any established patient who fails to show for an appointment will be considered a No-Show and charged a fee. The No-Show Fee Schedule is as follows:
No-Show Fee Schedule
Intake No-Show: $150 and may be prevented from establishing care
No-Show: $100
After two (2) instances in a 12-month period, the patient may be discharged from clinic care.
**If your provider deems your appointment cancellations to be excessive he/she has the discretion to terminate treatment at any time.
Fees are charged to the patient, not the insurance company, and are expected at the time of the patient’s next appointment.
As a courtesy, reminder calls, and texts are sent for appointments. If you do not receive a reminder call/text, the above policy will remain in effect.
For our Monday appointments, we require notice on Friday during our business hours to cancel. After hours Friday or over the weekend will be considered a late cancellation unless your appointment is Tuesday the following week. We prioritize that time for you and we need time to adjust to fill our session slots if you cannot make it.
We understand there may be times when an unforeseen emergency occurs, and you may not be able to keep your scheduled appointment. If you should experience extenuating circumstances, please contact our Billing Office. Our billing office is open M-F 8:30a-5p and can be reached at 608-274-0355.
